The advantages of Quality management System are being realized by every organization and companies all over the globe. It is however observed that some small companies are reluctant to hire consultant to implement the system because in their opinion it cost to them and probably their budgets don’t allow that. I am, however, convinced that ISO 9001 Quality Management System certification would not only pay a company in the long run, rather it would save them lot of money and help in expanding business.
It is strongly believed that if a company does not implement all or any of the mandatory requirements of QMS, it may cost them a lot sooner or later. At that point one may realize that the fraction of saving made by not hiring a consultant was negligible as compared to the losses faced by the company due to non implementation of QMS.
Number of times it has been asked by quality managers of many companies that is it possible for them to establish Quality management system for their company without hiring a consultant? My answer is yes it is possible but if speed is important then hiring a consultant of well reputed UKAS accredited company is a much better option.
For the benefit of those quality managers who want to implement QMS themselves without hiring a consultant I would suggest that they should do a ISO 9001 Lead auditor course. They should have a copy of current ISO 9001-2008 standard and understand “requirement clauses” which start from chapter 4. The quality manager should also have full understanding of all the mandatory clauses of the standard.
The quality manager should ensure that his company is fulfilling all mandatory clauses of ISO 9001; otherwise the company may go through major/ minor losses sooner or later. To implement Quality Management system at your own I will narrate some important steps. By fully implementing following steps the quality manager may be able to reach to the level of certification.
a) With the help of top management company quality policy need to be established. It should include your company’s vision mission, and objectives.
b) Start creating a Quality Manual for the company. The manual should include company’s vision, mission and objectives, organizational chart and how the things are generally done by the company.
c) According to the organization chart the duties and responsibilities of employees are to be written. Also describe core processes and the supporting processes of the company. Take help from ISO 9001-2008 standard and ensure that all mandatory clauses of the standard are understood and included in written procedures like management of documents, records, jobs description of employees, corrective and preventive measures, internal audit and how to handle non conformities.
d) You should also need to have complete list of all documents related to the company, list of suppliers and procedure to select and evaluate all company’s supplier, training plans of the employees and list of all the records of the company.
It must be understood that Quality management system can be implemented only if top management is willing to do that. Quality manager being the key person in implementing Quality management system should, therefore be directly under the top management. During implementation of QMS all the employees need to be trained and communicated with the objectives and targets of the company. The Quality manager will be required to have at least two persons trained on quality audit according to ISO 9011:11. They should help quality manager in doing the internal audit of the company to find out gaps and non conformities (NCs) in Quality management system. Good luck !!
